Authorities in ODIN

 

Subject and Name (personal, corporate, and title/series) authorities are stored in ODIN as separate files. Only subject authorities are processed against the database to update headings at this time. Hence only Subjects provide displays with XREF's. Each one may be searched separately or together.

A SUBJECT (SU) or AUTHOR (AU) or TITLE (TI) search may be conducted in the OPAC or Authority files without being required to type all the remaining possible words in the heading. SU/AU/TI [word(s)] searches for a word that is or begins a valid heading and results in a display list of titles (bibliographic records). If a very general word is used, the display list may be very large. It is suggested that the BR SU/AU/TI be used to narrow the search. For SUBJECT only, if the subject word entered is not a valid heading nor is there a see reference, a TE search will be suggested by ODIN.

Keyword searches may be conducted in the OPAC or Authority file that search headings and see references by using AUTHOR TERM (AT - corporate or conference), SUBJECT TERM (ST), or TITLE TERM (TT). Subjects that do not match an authority records, will display a message, usually to try SX or TE. Names and titles are only installed as an informational source and do not cause see reference displays or messages to users to try another search.

Instructions below are described in the context of PALSTAC. Operations occur in the same way on Web ODIN but displays will be slightly different.

How to use Authorities in PALSTAC

1. In the OPAC, file CAT:

BR SU
  • Use BR SU [word] to search for subjects. ODIN will list titles that have subject headings beginning with the word entered after BR SU. You do not need to know the entire, correct subject heading.
  • Display includes "xrefs" to let users know that heading is a reference to another, correct heading. The SEE -- [words] may be searched as SU or the user may type SE [line number], read the response, and may choose to continue with the SX command.
  • SE [line number] displays the authority record with its references
  • BF or BB [enter] will go forward or backward in the list of authorities
  • SX command automatically searches the SUBJECT TOPIC for titles with that subject

SU
  • SU [word(s)] searches for a word that is or begins a valid heading and results in a display list of titles (bibliographic records).
  • An SU search for a word or word string that is not a valid heading but does match a cross reference, will display a note to the user indicating the word they tried is invalid and has a list of references.
    1. If the user wishes to proceed with the suggested, valid subject heading, they need only type: SX
    2. The user may also try an SU search on any of the SEE-ALSO subjects

ST
  • Subject Term is a term search that searches terms any where in subject headings. It may be better at narrowing a search than TE because it looks for words specifically chosen to describe the content of the item.

TE AUT
  • TE AUT [word(s)] searches the Authority file while in the OPAC. Use it to display a list of headings in alphabetical order that contain the word(s) anywhere in the entire heading or see references. It does not work for personal authors.

ST AUT, TT AUT, AT AUT
  • XX AUT [word(s)] searches the Authority file while in the OPAC, ST for subject, TT for titles, and AT for corporate or conference names. Use it to display a list of headings in alphabetical order that contain the word(s) anywhere in the entire heading or see references.

SU AUT, TI AUT, AU AUT
  • SU AUT or TI AUT [word(s)] keyed in order, left to right, searches the Authority file while in the OPAC. AU AUT (personal names) is keyed with last name first, followed by first name and searches the Authority file while in the OPAC. Use it to display a list of headings in alphabetical order that contain the headings or see references.

No Records
  • Some searches result in no matches to valid subjects, see references, or subject terms. A word might have been misspelled or a TE (TE, TT, NT, RT, or AT) search may be advised or consult a librarian.

2. In the AUTHORITY FILE, file AUT:

SU
  • Use SU to search for subject headings. The word you type will retrieve headings and see references that begin with the word you entered.

AU
  • Use AU to search for personal author headings. The word you type will retrieve headings from headings and see references that begin with the word you entered. Start with last name, then first name.

AT
  • Use AT to search for corporate author or conference/meeting headings. The word you type will retrieve headings from headings and see references that begin with the word you entered.

TI
  • Use TI to search for Title and Uniform Title headings. The word you type will retrieve headings from headings and see references that begin with the word you entered.

TE
  • Use TE to find and to display a list of subject headings in alphabetical order that contain the word(s) anywhere in the entire subject heading or see references.
  • This search is the same as TE AUT in the OPAC.

BR SU, BR AU, BR TI
  • BR SU or BR AU or BR TI in the authority file searches both headings and references and displays both in one alphabetical list in the INDEX LIST. The HEADING at the right is the valid subject heading. If both are the same, that is the subject heading. When the INDEX LIST words are different than the heading, they are see references or see also references - for subjects only since processing is not being done on the Name Authority records.
FILE LCN or FILE LCS
  • Searches described above will retrieve more precise responses (shorter lists) if you select a particular authority file. If you are not sure which one would contain your heading, use FILE AUT. If you know you want a subject, use FILE LCS; if you know you want a Name or Title, use FILE LCN.

    X-ref [word(s)] ... SEE -- [word(s)]
    This is NOT a valid subject. The user is being referred from the words in the "X-ref" to the words in the "SEE --". Using the words after SEE -- , a user may type:
    1. SU [words] to retrieve a title (bibliographic) display list; or,
    2. BR SU [words] to retrieve a list of subject headings

    RECORDS
    DATABASE: LC SUBJECT AUTHORITY (LCS)
    Indicates the heading described is a subject heading from the Library of Congress Subject Headings. The general call number range is sometimes indicated.
    DATABASE: LC NAME AUTHORITY (LCN)
    Indicates the heading described is a PERSONAL NAME, CORPORATE NAME, MEETING NAME, or UNIFORM TITLE heading from the Library of Congress Name Authority Headings. The general call number range is sometimes indicated.
    SUBJECT TOPIC
    Topical subject heading
    UNIFORM TITLE
    Title heading that may be used as a title or series entry.
    CORPORATE NAME
    Company name that may be used as an added name or subject entry.
    MEETING-NAME
    Conference or meeting name that may be used as an added name or subject entry.
    SEE-ALSO
    Another valid topical subject heading on a related topic that might be of interest to a user or more appropriate for a cataloger to assign to a work.
    SEE-ALSO: Broader term
    Another valid topical subject heading whose scope is larger that might be of interest to a user or more appropriate for a cataloger to assign to a work. Because its scope is larger, it may result in a larger list of responses.
    USE-FOR
    Topical word that is NOT a valid subject heading and cannot be assigned to a work.
    Assists user in determining if the word in SUBJECT TOPIC covers the idea the user is looking for.
    USE-FOR: Earlier heading
    Topical subject that is no longer valid.
    USE-FOR-NOTE
    The SUBJECT TOPIC is NOT a valid subject. Users interested in that topic should try an ST search on the words in the note after the word "subdivision" in the USE-FOR-NOTE.

    REMINDER: Only those subject headings you have profiled for will be indexed for your library. Check your profiles before the database is indexed against the subject authority file.

    The authorities currently loaded are LCSH (Library of Congress Subject Headings). The referencing and updating will affect only LCSH coded subject headings.

    Automatic right-hand trunction is in effect for SU searches. This is the same as AU searches. A search may be done with the beginning word(s) without being required to type all the remaining possible words. If a very general word is used, the display list will be very large. It is suggested that the BR SU be used to narrow the search.

    The programming will do two activities: 1) It will identify and report to you any heading that does not match an entry in the authority file. The catalogers will then have a listing of all records that may need editing; 2) It will automatically flip headings that match cross-references. By doing this step subject searching will become more meaningful since authorized headings will be in each record. PALS does this by creating two files, 1) a file composed of base and correction authority tags selected, 150, 151, 450, and 451; and 2) another file of bib base and correction records with tag 650 and 651 with indicator 0 (zero). Subfields not included in the new authority records are not affected by the process. The text in the subject heading on the bib is corrected, followed by an update to the tag number itself, if necessary. All records changed via the authority programs will contain a subfield d' in the 040 tag with the characters hf'. It will appear on a total record display as: 040 DLC #c DLC #d hf

    Subject headings will be: 1) correct already, 2) be in a form that WAS correct, but is now a see reference, 3) split from one heading into two, 4) not match anything at all. Numbers 3) and 4) generate a report the library can use to correct its records. PALS Authorities will "flip" headings in number 2). When an authority record flips a subject heading, it first makes the change to the base record. That applies to all libraries in ODIN. Each library MAY have an additional correction record linked to the base record containing changes it has made to any field including subject headings. If those changes are in the correct format (number 1) PALS will leave the correction record alone. If it doesn't match, it will be reported for the library to review. It may be that what you used may be "wrong" but important to your library and could be added to the authority record as a see reference or note, and then you can correct the record. The 6XX tags are checked for the second indicator to know how to verify what is correct. "0" is LC, "2" is MESH, "1" is LC Annotated Children's, etc.

    More specifically: Three reports have been designed to assist the catalogers in correcting records. These reports are: AUT-011 Flipped Headings; AUT-012 Unmatched Headings; and, AUT-012 Matched Split Headings. AUT-011 sorts in ascending order by Institution, Text, Tag, and AUT ID and formats a file for printing at t0e various institutions in CIRC-031. AUT-012 sorts in ascending order by Institution, Text Heading, and BIB tag number and formats a file for printing in CIRC-031.

    The first report, AUT-011 Flipped Headings (AUT-14), is an informational report. Whenever the program detects a heading that was changed it will reflect the bibliographic ID, the MARC tag changed, the authority file record that was used for the match, the file name, the text of the old heading and the text of the new headings.

    The second report, AUT-012 Unmatched Headings (AUT-15), provides a list of every headings that cannot be matched to an authority record. Again, this report can be substantial. The fields are the bibliographic ID, the MARC tag and the text. This report is useful in finding headings that have typographical errors. Note that several of the headings do have typos. After this report is run, the catalogers can correct the records using the MARC editor.

    There are some headings that cannot be automatically flipped by the PALS program. These headings will be reported on the AUT-012 Matched Split Headings (AUT-16) report. The bibliographic record, the MARC tag and the text will identify which records will need to be edited with a current heading. Because the Library of Congress has split these headings, the program cannot decide which of the new headings is most appropriate for each record. Again, the catalogers would have to determine the correct headings and edit the record using the MARC editor. This report may be smaller than the other two.
