Linking in Aleph
Aleph provides a number of different types of linking
options for users.
MARC21
The connections between related publications are handled
via a number of MARC21 fields (76X-787 fields).
Those that display in the Standard format, users can
click on and move from one title to another. These will say phrases like: Continued by,
Continues, etc. and also open the Aleph Services window.
Not all fields are being displayed in the Standard format
view, but they are viewable in the Name tags display. You will see
phrases like: Host item entry (on a record for something that is part of a
larger collection), Constituent unit (on a collection record - lists individual
titles in the collection), Add. Physical form (for the same title in another
format), etc.
Aleph Linker fields (LKR)
Aleph has a special feature to allow linking in a variety
of situations that users can click on.
These include analytics, title changes occurring within
bound volumes, bound-withs, boxed sets, etc. The ONLY place they
operate is in the Standard format in
the Web OPAC - no where else in the OPAC or GUI.
They help both patrons and
librarians, especially in figuring out call numbers for these situations. These also don’t force the opening of the Services
window, but go straight to the title or list of titles.
For sets covering a particular
field of study, users may find other titles of interest that they might not
have found otherwise.

about LKRs
There are
several types of LKRs but all records were migrated with one type: LKR ANA.
An
analytic is a bibliographic record for a title that is part of a
set/series/collection shelved together.
It is a relation for which Aleph uses the LKR field on the individual
title to create both an "UP" and "DOWN" link. This allows
users to click and find the main set record/title from an individual title
(UP). Aleph creates an additional link from the main set record/title to the
individual titles (DOWN).
How it
works as currently migrated
This
affects the display of individual titles (Full View of Record) and the Holdings
screen you get when clicking the Call number or Availability links.
Record - DOWN
Main title of a set will have either one of these
Down Link - for one analytic or one bound-with, etc.
-- or --
Down links (Create) - multiple analytic volumes, etc. This
will create a list of titles in the set. For the other situations, you will
know which titles are bound together, etc.
Holdings
Main title will list all volumes
Record - UP LINK
On the individual title, you will see only Up Link - back
to the main set title
Holdings
The Holdings will list only the volume numbers related to
the individual title.
It is
possible to have both "Up" and "Down" links on some titles
a) there
really are titles in multiple layers
b) some
migrated with the opposite linking - clicking still works but the label may
seem less than clear
Note: When
there are multiple formats or multiple copies in different collections, you may
see unusual holdings. Please ask - catalogers can fix some of these.

Types of LKR fields
HOL = LKR HOL on the HOLding record linking from the HOL record to BIB record
ADM = LKR
ADM on the ADMinistrative record linking from the ADM record to BIB record
DN = LKR
DN on a BIB record creates a link to another BIB record. An UP link is
automatically created from the linked record back to the record with the LKR
field.
UP = LKR
UP on a BIB record creates a link to another BIB record. A record can have only
one link of this type. A DN link is automatically created from the linked record
back to the record with the LKR field.
PAR = LKR
PAR creates a link from one BIB record to another BIB record
ITM = LKR ITM creates a link between a BIB record and the items of another BIB
record.
ANA = LKR
ANA on an individual title creates both UP and DOWN links and ITM links for one
of the records.
More on LKRs
UP and
DOWN
DN is
usually used (not UP) in order to auto-create the UP link. This uses the main
entry to list the linked titles. These links are only between bibliographic
records and do not affect items. There is limit to the number of DN links that
can be on a record (99). This might be useful in a situation where a limited
selection of items would have a separate bibliographic record; e.g. a set where
only a few volumes have unique titles; e.g. selected items in a manuscript
collection you choose to make a separate bib record for. If you want to also
link items and not be limited to the number of titles, use ANA.
PAR
PAR is a
parallel link from one BIB record to another BIB record. It does not link to
items. For example, since only certain 76X-78X relational fields are
hyperlinked in the GUI, you might want to make a click-able link for users.
ITM
ITM = link
between a bibliographic record and the items of another bibliographic record.
The $b contains the ADM system numbers.
ANA
ANA link is used between two BIB records and is intended to be used when
linking an analytic record to the main series records. It works well for most
other situations as well.
The ANA link is made from the lower (individual title) record to the higher
(main set) record and the system automatically builds an UP and DOWN links
between the two records as well as an
ADM link
to the items linked to the higher record.
If there
are more than two tiers the UP/DOWN link will be from the lowest to the middle
and from the middle to the highest. The ADM link will be to the ADM of the
highest - i.e. the third tier.
There should be one HOL record for all volumes of the title in a particular
collection. All the item records for those volumes are linked to the same HOL.
This
field is entered on the individual title - remember this creates 3 links:
UP, DOWN and ITM with one tag on one bib

To get the
holdings to display and the titles to link in the OPAC, use the LKR ANA. Note:
the “continued by” links (780/785) work to move between titles, but it opens
the Services window and does not do anything to link the barcodes together.
Enter the
LKR ANA only on the “continued by” title record. Give the holdings for the last
volume that includes the split.
Enter the
item for the vol. that has the split on the record for the title where the
volume starts.

Use a LKR
ANA for the subsequent title(s) linking to the first title’s system number. The
same system number will be on all the LKR fields. This will link the
bibliographic records to the item and display the call number.
If you
have multiple volumes that have bound-withs and that
are analytics, it gets a little more challenging.
If one volume has only one title, make a LKR ANA to the
main set title
If another volume has multiple titles bound together
a) add LKR UP on the 1st title to
the main set title
b) add LKR ANA on the remaining titles (2nd, 3rd,
etc.) to link to the 1st title in the volume
Note: the LKR ANA fills the call number into the 1st
title and links the item for both (all) titles. The LKR UP creates the link in
the OPAC and prevents double display of items when only one should display.

Known problems and issues:
1) Records
might have been linked in PALS in a way that caused the LKR ANA fields to be
entered on the main set record. The system limit is 99 fields that can be on a
record (although I have seen more). If there are many more, the links that were
in PALS may have been lost.
2) Some
items in PALS might have been linked to the separate title and others linked to
the main record within one set. There may be LKR ANA fields on both main and
individual title records. The UP Link and Down Links will have wrong labels and
be confusing. The Holdings screen may not list your holdings accurately.
3) Some
fields that could be displayed are not currently displaying, e.g. “v. 2.” This
could be discussed by the user groups to see which fields should be displayed.
3) If in
PALS titles that were part of a set but shelved in a different location that
you now have separate Collections for in Aleph and/or the LKRs are on the wrong
record, you may have very bizarre results.
