Stationery & Envelope Design

UND graphic identity standards were developed at the request of the President of The University of North Dakota and with endorsement of the President’s Cabinet. Changes and additions to these regulations will be made from time to time. The effective date of this version is the year 2002. Use of at least the University name and location and often use of the logo or logotype, in prescribed ways, are expected in print and other visual situations pertaining to the University. These guidelines pertain to those matters.

 
 

Use Policy for Stationery, Envelopes, & Business Cards

Institutional policy requires that University of North Dakota academic departments and administrative units must use the approved, official layout design (including colors, type style, and placement of all elements) for stationery, envelopes, and business cards. These may not be altered or rearranged (see later section on "Possible variations from official stationery and envelopes"). Specifications for official UND stationery and envelopes follow in a section below. Examples of the stationery, envelopes, and business cards are also presented.

Quality Control Responsibility

The Office of University Relations has been designated by the Office of the President to monitor and maintain compliance with policy, procedures, and content for official stationery, envelopes, and business cards. Stationery, Envelopes, & Business Card Requirements

Printing of official UND stationery, envelopes, and business cards is restricted to the University Printing Center to maintain quality and compliance with UND and Postal Service regulations.

Purchasing Regulations

Requests for printing that is not done at the UND Printing Center must be submitted to the Purchasing Office, Room 116 Twamley Hall, to complete procedures, including a required purchase order (SOS not allowed).

Format, Colors, and Design and Text Elements for Stationery

Specifications and parts of the main official STATIONERY are:

  • sheet size of 8.5 x 11" (a "half-sheet" size is available);
  • colors of green (Pantone Matching System 347) and black;
  • the UND "banner" logotype centered across the top, with the logo in green and the words "University of North Dakota" in black;
  • a horizontal line in green below that;
  • the department or office information in a block below that with each line in it flush to the right margin; the Equal Opportunity Institution line at the bottom left.

Also available is a half-size 5.5" x 8.5" stationery sheet, which has the address block centered at the bottom of the sheet. Both sizes must include the "Equal Opportunity Institution" line.

Specifications and parts of the main ENVELOPE are:

  • No. 10 size (smaller and larger sizes are available)
  • colors of green (Pantone Matching System 347) and black;
  • the UND "banner" logotype across the top left half of the envelope, with the logo in green and type in black;
  • a horizontal line in green below that;
  • the department or office return address, including the unit name on the first line and the city, state and zip code on the second line, in black centered beneath the "University of North Dakota"/logo heading and horizontal line;
  • "Address Service Requested" line centered two spaces below that.

Also available is a smaller No. 6 3/4 size envelope which contains the same elements as the larger envelope.

Stationery and Envelope Text Content

The STATIONERY CONTENT, in addition to the institution name, usually includes the office or department name, the box number, and Grand Forks, North Dakota (spelled out) 58202(or the appropriate location if it is away from the main campus), below which, separated by a partial line space, are on separate lines the main office phone number and the FAX number (designated as FAX). The box number is preferable to a street address for the majority of UND designations. Some text content variations may be needed to fit situations peculiar to specific departments.

Stationery which contains only the instituition name, with no department name and address, is not allowed except with permission for a special use purpose.

The ENVELOPE CONTENT, in addition to the institution name, includes the office or department name and, on the same line, the box number, city and state, and zip code. Often below that, separated by a space, is an "Address Service Requested" (previously "Address Correction Requested"). Limited Stationery Personalization Permitted

While it is not recommended because of cost and logistics, stationery that includes an individual's name is permitted. However, such a practice increases expenses because it restricts department-wide use. Personalization can be achieved with the typed name and signature and through use of business cards.

Logos, Slogans on Official Stationery

Inclusion of a departmental or unit logo or a line of a sub-message, or "slogan," is permitted on the official UND stationery as a worthwhile communication device about the unit. Approval must be granted for such additions and location of them on the stationery by the Office of University Relations, which is authorized to make these determinations. The University Printing Center will relay such requests to University Relations when stationery printing orders are placed. Additional elements are not permitted on the official UND envelope, partly because of Postal Service regulations.

Variations from Official Stationery, Envelopes, & Business Cards

Academic colleges and departments and administrative units (primarily, those on the UND Organizational Chart and their subsidiary units) must use the approved, official layout design (including colors, type style, and placement of all elements) for stationery, envelopes, and business cards.

While they are encouraged to first consider using the official University stationery, envelope, and business cards design, certain kinds of units that are part of or are affiliated with the University but which have focused functions and missions and/or special marketing, promotional, and "branding" needs may be permitted to use a design that is different than the official UND design. However, such variations MUST INCLUDE the University of North Dakota name AND logo or logotype in addition to their own design elements. Further, in such cases of variation, the design must be entirely different from the official stationery, envelope, and business card style and not merely a slight change, such as simply placing the entity's logo or mark in place of the UND logo (also see section on "Additional elements on stationery" below). The Office of University Relations makes determinations for variations and approves use of the UND name and logotype, including location, on stationery that varies from the standard institutional design.

Variations are seldom approved. Requests are decided upon by the Office of University Relations, P.O. Box 7144, Grand Forks, ND 58202-7144; phone (701) 777-2731; Room 411 Twamley Hall. Factors include whether or not the requesting unit is the kind for which a variance is allowed, and if the design is both a sufficient departure from the official design and meets professional standards. This policy is in accord with directives from the Office of the President.

UND Business Cards

A uniform UND business card style that matches the design of the official stationery and envelopes is required for UND faculty and staff in academic and administrative offices (see sample below). That style is available at the University Printing Center and must be produced there for quality control reasons. The cost of business cards with a style that varies from the uniform University one must be paid by the individual. Certain UND entities which qualify for variations from the standard stationery and envelope design are also permitted to have business cards that match that varying design.
