Guidelines for Transcribing Writers Conference A/V Footage

1.  Download necessary transcription software.

     A. FOR MAC

          i.  Go to

          ii.  Click on "Download Mac"

          iii.  Once download has completed, double click on ExpressScribe and drag the app icon into your applications folder

     B.  For PC

          i.  Go to

          ii.  Click on "Download Now" for Windows in the Right Side navigation panel

          iii.  Double Click on essetup.exe and follow instructions

2.  Open ExpressScribe (Found in your "Applications folder on Macs, and in your "Programs" folder on PC)

3.  Open MP3 file in ExpressScribe

      A.  Go to "File > Load Dictation File"

      B.  Click on "Folder" icon (the middle button on the upper left hand side) and locate the MP3 File that you will be transcribing.

      C.  Click on the file and then click "Load"

4.  Open MS Word or TextEdit Document

5.  Go to File > Save 

     A.  Save your file in the following format: AUTHORNAME_YOURNAME, i.e., Merrill_Alberts.doc

6.  Go back to ExpressScribe and click the play button.

     A.  NOTE: You can adjust the speed of the audio track by sliding the "Speed" arrow to the left.

7.  Go Back to your Word Document.  Type what you hear, exactly as you hear it.

      A.  NOTE: You may have to replay portions of the audio file in order to understand what the author(s) is saying.

     B.  NOTE: If the author(s) say "um" or "uh," these words can be omitted from your transcription.

      C.  NOTE: Pay close attention to the tone of the authors words, as it will let you know whether or not you should be using a period, question mark, or exclamation point.

      D.  NOTE: Pay close attention to the author(s) pauses, as they will let you know whether or not it is the end of a sentence or whether a comma or some other punctuation is needed.


8.  After you have transcribed all of your audio file, open the MP4 file using QuickTime.

9.  Listen to the Video File in Real Time, while verifying that the contents of your Word Document are accurate.  If there are any errors, fix them.

A.  Remember to save your file regularly.

10.  Send your file to Crystal Alberts via email.
