COMMITTEE MEETING

May 5, 2005

ATTENDING:  Ron Brinkert, Ray Diez, Lillian Elsinga, Sue Jeno, Phil Harmeson, Patti Mahar, Cindy Flom-Meland, Susan Nelson, Mark Rudolph, Lowell Schweigert, Bruce Smith, Brian Strom, Paul Todhunter

Guest:  Alice Brekke

Recorder:  Bev Hopman

Susan Nelson called the meeting to order at 3:24p.m. in the Memorial Room of the Memorial Union.

Budget:  Alice Brekke, Assistant to the President and Director of the Budget Office, was introduced by Interim AD Phil Harmeson.  Ms. Brekke reviewed the budget process and discussed how the Athletic Department budget was being established for fiscal year 2006.  In the past, the Athletic Department budget was prepared by the Assistant Athletic Director – Internal Affairs.  That position is currently vacant and Phil Harmeson has recommended the position not be filled.  He indicated the new Athletic Director would fill the role of the department’s financial officer.  To date, Alice Brekke and Phil Harmeson have had two meetings with Athletic Department staff and coaches to educate them on the budget process and bring them up to date on the current budget status.  Athletics is anticipating a budget shortfall of over $250,000 for FY05.  Handouts were distributed to the IAC comparing the Athletics Department FY00 budget to FY05.  Phil Harmeson will be scheduling individual meetings with the 24 fund managers within Athletics, followed by meetings with Alice Brekke and the Athletic Business Manager Juli Reisnour.  Phil Harmeson indicated a provisional budget will be submitted with adjustments being made at a later date.  Susan Nelson asked if areas had been identified where budget cuts could be made.  Phil Harmeson said pool positions, overtime, courtesy cars, complimentary tickets and trade agreements were being looked at.  After much discussion, Lillian Elsinga moved that Susan Nelson draft a memo on behalf of the IAC approving a provisional budget for the Athletic Department.  Bruce Smith seconded.  Motion carried.  Alice Brekke said she would add the Chair of the IAC to the budget distribution list and would be willing to attend IAC meetings to provide more information as needed.

Minutes:   Ray Diez moved the minutes from the March 29, 2005, meeting be approved.  Lowell Schweigert seconded.  Motion carried.

Schedules:  The proposed Athletic schedules were e-mailed to the IAC prior to the meeting.  Bev Hopman pointed out some changes that had been made.  Ron Brinkert moved the IAC approve the schedules as amended.  Ray Diez seconded.  Motion carried.  (A copy of the revised schedules are attached to the minutes.)

Athletic Director:  Phil Harmeson announced that Tom Buning has been hired as the new Athletic Director and will start at UND on July 1, 2005.  Buning is currently an Associate Director of Athletics at the USMA – West Point.  It is expected that Engelstad Arena will announce the hiring of their new director soon.

Letterwinners:  Bev Hopman submitted the list of spring sport letterwinners as recommended by their head coaches.  Baseball, softball, men’s track and women’s track are still in season.  If there are changes to the letterwinner list it will be brought forward at the first meeting in the fall.  Ray Diez move the letterwinners be approved as recommended by the head coaches.  Cindy Flom-Meland seconded.  Motion carried.  The list of letterwinners is attached.

This was Susan Nelson’s last meeting as Chair of the IAC.  The committee thanked her for her dedication and hard work.  She thanked the committee for the opportunity to serve.

Cindy Flom-Meland moved the meeting adjourn.  Ron Brinkert seconded.  Motion carried.  The meeting adjourned at 5:03 p.m.  The next meeting will be in the fall of 2005.
